MINUTES OF THE GENERAL MEETING HELD 22/02/07 AT FRANCIS PARK.

GM07/001 Ian welcomed everyone to our first General Meeting for the year and wished everyone good luck for the season.

Thanked everyone for last years purchases and explained what he has to offer this year. If you are having any functions and what any items please contact me and I will be able to help also if you would like the mobile showroom to come to your ground give me a ring.
Ian also welcomed Ashley Smith from the Referee's Branch to the meeting.
GM07/003 MSA resume standing orders
GM07/004 The minutes of the August 2006 General Meeting were read and accepted
There were no matters arising.
GM07/005 MSA that the M.C. deal with correspondence at a later date.
GM07/006 TREASURER'S REPORT
1. Budget tabled.
2. When you start registering your players a cheque for payment must be received within 48 hours or you will be fined as per the rules.
GM07/007 SECRETARY MANAGER'S REPORT
1. Premier League meeting will be next Wednesday 28th February 2007 @7:30pm and at 8:30pm an FDC meeting will be held. Any items for discussion to be sent to the office.
2. State Cup nominations close on 5th April 2007 if anyone is wishing to enter teams it is for age groups 12, 14, 16, 18, 21, Premier League, O35 and girls 12, 14, 16, 18 and AAL. Please forward your nominations to the office by the end of March
3. Coaching and Development. I will ask David Hubbard our Development Coach to speak to you.
David reported on a new course for Grass Roots coaches, 3 hour course and it is accredited. A calendar has been given out with the dates.
We may also do 2 Junior Licence courses if needed.
Please support our School Holiday camps, strikers and goal keeper courses, Development Academy and Club visits. All dates are on the Coaching Calendar.
Jack - If your coaches aren't accredited you will start to have problems this new course will cost $25 per coach it is very affordable. We do have levy and all that money will be used for the new course.
Question from Glenwood - can it be on another night other than Friday.
Jack - It will be Friday nights and they will attend
Question from Eastern Creek - can managers do the course
Jack - We will only pay for Coaches but if your managers wish to do and pay for it they can.
I have given you a information sheet about the Grass Roots Coaching course please hand it out to your coaches
4. Handouts - Powerade Elite DVD - Tip Top DVD will be out soon

6. After School Programme - Sport & Rec need volunteers. If you know of anybody please get in touch with me.
7. Refugee Program - African Refugee, I have been asked to meetings and if any club can help please let me know tonight.
8. Referee Format - We had a meeting with the Referee's Branch on Monday night and have worked on a Memorandum of Understanding that once completed both President's will sign
Referees Branch has asked that we cease to pay referees in cash on the day but pay by invoice.
Their initial request was that the BDSFA Inc pay in advance for services, with a monthly adjustment invoice. The MC have decided not to pay in advance, but will guarantee payment by Clubs on receipt of an invoice within 7 days.
Question from Glenwood - Will we discuss it first.
Jack - It is their request.
Glenwood - will they check that all games are covered.
Jack - It is pointless having a discussion on Referee's when we don't run them
Glenwood - It's not enough time to raise a cheque
St Pat's - will we pay the Association
Jack - No the Referee's branch will invoice you
St Pat's - what if we don't receive an invoice
Jack - don't pay
Jack - the host club will be invoiced, the referee's will bill you from our draw
Premier - if a referee doesn't turn up and they bill us, do we pay the lesser amount and write to them - Yes
Glenwood - do we still use the invoice book - if you wish
St Pat's - can we deal direct with the Referee's
Jack - Protocol is to write to the Association and I will forward it to the referee's branch
But if it is about your invoice deal direct with them
Glenwood - what about GST
Jack - They do have an ABN and it is classified as a Hobby
9. Sportrage packs have you looked at them. It is very good and you can order more if you wish
10. Team nominations close on 13th March 2007, the draw will be started the next night

11. Registrations - All our registrars are doing well. Please start to send in data syncs and payment.
12. Email addresses- the spam filter is working too well, nothing is getting through.

St Pats - can we retrieve archives from previous years
Jack - Yes we can
St Pats - the fonts are a bit boring can we change them
Jack - You can cut and paste, just have a play
GM07/008 P & DC REPORT
1. Format tabled
Question from Oakville what is bringing the game in disrepute
Jack explained

3. I need a Minute Secretary if anyone is interested please get in touch with the office
4. Jack noted that "offenses against officials" is an offense against club officials too. We will fix the paperwork.

GM07/009 REGISTRAR'S REPORT
1. The format was tabled at the registrars meeting we just need it to be accepted.

GM07/010 VICE PRESIDENT'S REPORT
1. The representative season starts on 3rd March with our State League Men at home
2. I will send a email out for Roo ball teams to play at half time of 1st grade, if anyone has any teams ready please let the office know.
3. Passes to Francis Park will be ready soon for you to pick up.
GM07/011 GENERAL BUSINESS
1. Prospect United - Insurance Program - It doesn't cover anything and players are out of pocket.
Jack explained that it is a support program
Quakers Hill asked can they get their own insurance - Yes they can but it is expensive and they still have to pay the levy
Jack a whole team can also get extra cover - We can look into for you
2. O35's age eligibility- I have had numerous calls about the age criteria. You gave me a rule if you wish it to be changed please put it in writing.
Minchinbury - I thought we decide d to split it from AA
Jack - last year we said that they couldn't play in State run competitions if they weren't O35
We will discuss it further
3. Alan Fuzz from Coca Cola have left some information for you.
Glenwood - why did you send a email and ask us not to go to Schweppes
Jack - I received an agenda from Phil Major and it was different to what he gave you on the night
I am disappointed that someone sent my email onto Blacktown City
4. St Pats - we have had some people not wishing to fill in some sections of the FFA Registration Form what do we do?
Jack - don't make them
5. Jack - I have had a few calls from clubs that have other teams using their fields even when grounds are closed. Please be aware that you are not allowed to go onto anyone else park.
6. Please notify us of all trial matches they must be approved.
7. When will the intake of roo ball referee's take place - 3rd March - it is on the web site
8. Last year we sourced Insurance for you only 6 of you took it up. Two of you have been broken into you are now uninsurable. If you need the paperwork ring the office.
9. Premier we took it out but haven't heard anything. You will soon.
